Google drive add shared folder to my drive not shortcut

Files and folders that others share with your Google at IU account appear in Google at IU My Drive under . To access them:

  1. Log into google.iu.edu with your IU username and passphrase.
  2. To access Google My Drive, click , and then .
  3. In the navigation menu on the left, click .

To view or work with these files using Google Drive for desktop, you must create shortcuts to the shared files or folders in Google My Drive:

  1. In Google My Drive, click .
  2. Find the desired shared file or folder, right-click its name, and then select .
  3. In the navigation pop-up, select , navigate to the location where you want to create the shortcut, and then click .

Note:

You cannot create a shortcut in Google at IU Shared Drives.

Important:

IU is limiting its storage footprint in the Google platform. For details, see About changes to storage in Google at IU.

Although existing Google Shared Drives will continue to work normally for the time being, creation of new Google Shared Drives is now restricted to these scenarios:

  • As a transitional step to simplify the process of migrating institutional data from Google My Drive to Microsoft Teams
  • An option for departments that wish to pay for continued storage in Google

You can still add shared files and folders to your Drive (not just a shortcut), but the option is hidden behind a keyboard shortcut.

Go to your Shared with me section, highlight the shared files or folders you want to add, and press Shift+Z on your keyboard. You'll see the old move menu and can choose where to put those folders. On your PC, they'll sync and behave like they used to, no shortcut mess.

Note that this workaround will likely only function until September 30, 2020.

TL;DR - Shift+Z brings up the old Move menu, letting you add shared folders to your Drive.

It took a few tries to Google how to sync folders that were shared after roughly fall 2020 (folders shared with me before that were totally fine), but [Wayback] drive google shared with me – Google Search got me the below answer.

From [Wayback/Archive.is] Google completely ruined shared folders in Drive (Update: Workaround, Google shares longterm plan):

you can still move shared files and folders to your Drive, even on the web (no need for the Android app), but the option is hidden behind a keyboard shortcut. Go to your Shared with me section, highlight the shared files or folders you want to move, and type Shift+Z on your keyboard. You’ll see the old move menu and can choose where to put those folders. On your PC, they’ll sync and behave like they used to, no shortcut mess. More info can be found here, and you can always type ? in Drive to bring up the list of keyboard shortcuts if you forget this one.

Finally, Remy revealed that the Drive team will “keep this behavior [Shift+Z] around for folders until we have a solid solution to sync shared folders.” I think that helps appease our collective fears about the change.

Shortcuts can sync across your devices, including computers and smartphones. But when you use Backup and Sync to connect with a computer, there are some differences. The shortcuts you made to individual files will sync up with the file as normal. But the shortcuts you made to shared folders will just link to the folder on the Google Drive website.

Try these alternatives:

  • Instead of a shortcut, add the folder to an additional location. On the Google Drive website, select the folder and press Shift + Z. 
  • Add shortcuts to individual files within the shared folder (and not to the shared folder itself).
  • If you’re a Google Workspace user, learn more about Drive File Stream.

Until recently, I was able to add shared folders to My Drive using the Shift + Z shortcut, but now every time I try to do it, these two messages appear:

FolderName has been added to "My Drive".
The server encountered an error. Please try again later.

I know I could add a shortcut of the shared folder to Drive, but I would like to leave that as a last resort.

How can this problem be solved?

Adding a shared folder to your Drive with the Shift+Z shortcut only works if the owner of the folder has the advanced sharing option Editors can change permissions and share enabled. If this is disabled you'll get the unhelpful error message you encountered.

Steps to enable:

  1. Login to Google Drive with the account that owns the shared folder
  2. Locate the folder in your Drive
  3. Right click it and select Share
  4. In the opened dialog, click the gear icon in the top right
  5. Enable Editors can change permissions and share option

Now users you shared the folder with should be able to add them to their Drive with Shift+Z

I think that is a problem on the Google side, so as the message suggests, wait an try again later. In the mean time you could submit your feedback directly to Google. On Google Drive on the web click the ? button then Send feedback, fill out the form and submit it.

You can use add "shortcut to my drive". It does the same thing. But if you are a "Backup and Sync" user and want those folders to appear and even be reachable in your PC when you go offline you can go ahead and uninstall your "Backup and Sync" client and use the "Drive for Desktop" client instead. I don't know why Google tries to hide it into the deep partition of its website but it is a way too underrated tool that can do literally everything "Backup and Sync" can do and way much more.

Sometimes there might be an outage from the servers. You can check the server's status in https://www.isitdownrightnow.com.
If the above isn't the case then check if your Google Drive works with incognito mode. If it works then the problem might be extensions like CORS domain added to your browser, remove that and check.
The last option might be to contact Google and resolve it.
