You can use your iPhone to send email to specific departments or project teams at your business, even though the iPhone's built-in Contacts app does not directly support separate email distribution lists. Third-party apps have been developed to work around this issue, and there's a do-it-yourself option that fools the iPhone into thinking that your distribution list is an individual contact. You create a comma-delimited text string in Notes and copy and paste the string into the email field of the Contacts application.

  1. Tap the Notes icon on the home screen to open the Notes application. Tap the plus ("+") button to open a new note if the application does not automatically open to a blank page.

  2. Type in the name of the contact, a space and then the email address of each contact, enclosed by the less than and greater than symbols. Separate each contact pair with a comma. Your list will look like this:

    Contact Name 1 <>, Contact Name 2 <>, Contact Name 3 <>

  3. Select and copy the entire text string in the Notes application, using one of two methods. Tap once on the first word until the magnifier appears and then release, bringing up the Select menu. Tap "Select All." Alternatively, tap the first word twice until a blue box surrounds the first word. Move the handles of the box to cover the entire list. Tap the "Copy" pop-up balloon after selecting the text string to place the contents on the iPhone clipboard.

  4. Switch to the iPhone home screen. Tap on the Contacts application to open it. Tap on the plus ("+") button to create a new contact.

  5. Type in the distribution list name under the "Company" field. Tap twice in the "Home" or "Work" email field and select the "Paste" option to paste the contents of the Notes application into that field. Tap on the "Done" button in the upper right corner of the screen to finish creating the contact.

  6. Open the Mail application and create a message. Begin typing the name of the distribution list name in the "To" field until it appears in a drop-down list. Select the name by tapping it.

  7. Type a message in the message area and tap the "Send" button.

A contact group comes in handy when you want to send the same message to multiple contacts every time, especially if it’s a party invite or trip discussion. While iOS doesn’t allow to create a contact group directly, you can do so via iCloud or third-party applications, which are as easy as pie.

Note: You must enable contact sync in iCloud. To check and do so, open Settings → tap your profile → go to iCloud → toggle on Contacts.

  1. Visit iCloud.Com on your Mac and sign in with your Apple ID.
  2. Next, select Contacts and tap on the “+” icon at the bottom left corner.

  4. Next, name the group, and you’re ready.

Note: This process requires a strong internet connection.

Once you create the group, you can add all the contacts you want in that particular group. All you have to do is drag the contact from ‘All Contacts‘ and drop it in the new group you made.

You can delete the group or a specific contact easily. Here’s how;

  1. Select the group or contact you wish to delete.
  2. Tap the Actions menu in the bottom left corner and select Delete from the menu.
  3. A menu will pop-up on your screen. Tap Delete to confirm the action.

Tip: You can also delete by selecting a particular contact or the contact group and clicking on the delete button from your Mac’s keyboard.

Use contact groups on the iPhone

  • Check the group you made in the Phone app on iPhone
  1. Launch the Phone app on your iPhone and go to Contacts.
  2. Now, tap groups in the upper right corner.
  3. You will be able to see all the groups you created.

Note: iPhone’s messaging app doesn’t support groups. You can send a message to the group via email.

  • Use it in the Mail app

Send an email to each person in the group in one go.

  1. Open the Mail app on your iPhone and create a new email.
  2. In the “To” section, type the group’s name. You will see the name of the group as a suggestion.
  3. Select that group, type the message, and hit send.  The message will be delivered to everyone in the group via email.

Note: It is crucial to have the person’s email ID saved in his/her contact details. Otherwise, you can’t send an email to that person even if you have added him/her to the group.

  1. Launch Settings and go to the ‘Do not disturb’ option.
  2. Here, you will see the contact groups you created in iCloud.
  3. Tap ‘Allow Calls From‘ and select the contact group.

Besides iCloud, you can also use third-party applications to create a contact group on the iPhone easily. One best app that comes to mind is Groups. It is available on the App Store for free (with in-app purchases).

  1. Open the Groups app on your iPhone.
  2. Tap ‘Add New Label’ to create a new group.
  3. Visit the New Group page and name your contact group.
  4. Tap ‘No Contacts — Add Some’ to start adding contacts.
